A rota is one document. Everybody who touches it — a manager filling it in, somebody asking for leave, two people swapping between them — touches the same one, and what gets published is what happens.
How it works

- People mark availability ahead of time from a phone, so somebody who said they cannot work is not scheduled by accident.

- A swap starts with the person leaving, goes to the person taking it, and closes with a manager approving.
- Leave requests land on the same board, so the rota is not built around somebody who will not be there.

Common questions
How long does the first rota take?
Usually under an hour. Open a department, add the roles, pick a ready-made shift pattern, and fill it in. If people have already marked their availability, filling it in is dragging.
What happens when two people swap a shift?
The swap is offered inside the system, whoever accepts takes it, and a manager approves. The rota updates for both of them and for everybody looking at it, rather than in a private message nobody else saw.
Can it run more than one site?
Yes. A site is a place, a department is a team, and somebody can work at several sites. Each department has its own manager and sees only itself.
